Choosing a Day of Coordinator can make all the difference in ensuring your wedding day runs smoothly. While we take care of many details as a venue, there are still a few tasks that fall outside our scope. That’s where our in-house coordinator comes in! Fully trained and highly knowledgeable about all things Pine and Pond, they will be your dedicated point of contact for the designated eight hours of service. From check-ins upon arrival to assisting with key moments throughout the day, they help ensure everything unfolds seamlessly so you can focus on

DAY-OF COORDINATOR

The Details

  • They will check in upon arrival and throughout the day. They will act as your point of contact person for the 8 hours of service decided on. They can assist with the following:

    • Arbour decor (depending on florist and 8 hour period selected).

    • Setting up extra table decor (guest book table, gift book table, cake table etc.).

    • Help with ceremony timing.

    • Vendor Help (welcoming vendors, helping setting up snacks/food at outdoor bar, ensuring officiant has everything they need for the ceremony etc.).

    • Help transition from ceremony to reception (Ex. Florals that need to move from outdoor arch to reception etc.).

    • Use a golf cart to help shuttle elderly or different ability guests from ceremony to reception if needed.

    • Ensure all vendors show up on time and call if not. 

    • Be a point person between the bride and groom and the venue and check in frequently. 

    • Ensure MC and officiant have the venue announcements and remind guests of the rules. 

    • Help with a back up plan in case of inclement weather.

    • Help take care of take down of your extra table decor (if later time-frame is selected).

  • If you select this add on option, you will get an email introducing you to your day of coordinator and one additional form to fill out. This form will go over additional needs such as decorating the arbour, guest book table etc. We will add all extra items to your file which our day of coordinator will have access to. Once this form is received, your day of coordinator will give you a consultation call to go over and finalize details with you for your wedding day.

  • It will cost $750 for this service.

  • You can simply select this as an ADD ON feature on your event day forms. This means you have up until 4 weeks before you wedding to decide if you would like to add this service on.
